Receiving is the most crucial part of our business. In order to guarantee a smooth receiving, ShipCalm has developed a process to efficiently and accurately receiving your shipments into our warehouse.
ALL cartons, pallets, and containers that ShipCalm receives must adhere to the following requirements:
Step 1: ASN Creation:
ASN is required for All Inbound and need to be entered on InfoPlus.
Please refer to the link - How to create ASN
- All Inbound is required to have a Packing list attached.
- For containerized inbound - we require 1 ASN per container.
- For SPD - we do not require ASN however, customer are required to provide tracking number.
Note: Inbound without ASN, or have incomplete details will have to be put on hold until all requirements are met. This is to ensure we will have correct inventory information.
Step 2: ASN submission Process:
- It is required to Submit ASN at least two weeks before the intended arrival to validate if the warehouse team have the capacity to work in receiving the inbound.
- SPD - it is required to provide tracking number attaching the Packing list.
Step 3: Appointment Process:
- Request an appointment by booking a schedule on this link - How to schedule and pick up and drop off?
- ShipCalm require at least 72 business hours in advance for Containerized inbound and Less Than Truckload shipments meeting the following specifics:
- Full Container Load - 20”, 40” or 45”
- Less Than Container Load with 10 or more pallets
- Small Parcel Delivery with more 50 or more cases
- Shipment with 10 or more SKU’s.
Important Information:
- Appointments are 2 hours in length and are for a single container; Multiple containers require multiple appointments
- Appointments are ONLY needed for FTL/ LTL shipments; Appointments are not necessary for Small-Parcel deliveries, however, we ask tracking information be provided in the ASN
Please refer to the below guidelines for Pallet and carton Requirements:
Pallet Requirements
- Standard Pallet Dimensions - 40" x48" x70"
- Anything larger wil require special handling and storage; Additional fees may be incurred.
- Each pallet SHOULD have pallet numbers applied
- These identifiable pallet numbers will identify the total pallets in the shipment.
- Each pallet SHOULD have cartons stacked and weighted evenly
- When the cartons are loaded onto the pallet, be sure to stack them evenly and with the carton markings easily displayed facing outwards.
- Pallets received disorderly, heavily damaged, and/or dangerous to handle, will result in additional fees.
- Maximum Pallet Weight of 2,000 lbs
Carton Requirement
- ShipCalm Receiving Detail should be on each Carton
- Each carton must be clearly labeled with the Receiving Detail which contains the Owner of Goods, SKU, and Quantity
- Each SKU must be Case Packed
- Mixed Cartons MUST be easily separated and identifiable by SKU
- It is best that Inventory be shipped to ShipCalm with a single SKU per carton or utilize inner cartons with Receiving Detail Carton Labels
- Each Carton should have Carton Numbers

The ShipCalm Receiving Detail Label has been created to help in the receiving product faster, without any issues or delays.
Single-SKU Cartons
Advanced Ship Notice (ASN):
- PO # as it is added into InfoPlus, our Inventory Management System
Company:
- Owner of Goods / ShipCalm Customer
Carton Number:
- Specific Carton / Total Cartons Receiving
For example: 01/10, 02/10, 03/10, etc.
SKU:
- ShipCalm Inventory SKU
- SKU in ShipStation and InfoPlus
This is not always the same as the manufacturer's
SKU. Please confirm this label has the ShipCalm SKU.
Case Pack Quantity:
- Single Unit Case Pack Quantity
- How many units are in this carton
2. Multi-SKU Cartons?
Multi-SKU Cartons require Inner Cartons and additional labeling to separate the unique Items
- Use Single SKU Carton Labels for the Inner Cartons
- Use the Multi-SKU Carton Label for the Outer Master Carton
- Ifthe Multi-SKU Cartons have greater than 5unique SKUs, you MUST use the 'Additional SKUs Label' to ensure al unique items are listed and quantified on the outside of the cartons.
Are you sending new Product?
AL New Product requires additional work to ensure it is ready to be received into ShipCalm inventory systems.
- Add New Product Information into Product Spreadsheet, such as Product Name, SKU, Dimensions, and Harmonization Codes, etc.
- Notify our Support Team / Inventory Specialist of the New Products, they will make the New Item ready in InfoPlus
- Our Support Team/ Inventory Specialist will give you the 'Green Light' approval to enter the ASN into InfoPlus
- Create or Edit an existing ASN with the New Product SKU and expected quantities
- Product is Ready for our team to Receive!
